How to choose a Canadian invoice generator
Canadian invoices need to identify the sale, the customer and the tax treatment clearly enough for payment, CRA records and any provincial review. The right generator should match the industry, province, GST/HST status and records the customer needs to approve the invoice.
GST/HST, PST, QST and place of supply
CRA guidance says GST/HST rates depend on the place of supply and the type of supply. Some provinces use HST, others use GST plus a provincial sales tax, and Quebec has QST rules through Revenu Quebec.
If you are registered for GST/HST, show whether tax is included or added separately, the rate that applies and the tax amount. If you are a small supplier and not registered, do not charge GST/HST.
Choose the generator by workflow
- Freelancers and self-employed workers: business number, project, service period, taxable status and payment terms.
- Medical and allied health: patient, service date, provider registration, insurer or reimbursement notes and exempt/taxable line separation.
- Auto repair: vehicle, plate, VIN, odometer, repair order, parts, labour, warranty and GST/HST.
- Construction: site address, contract, progress claim, materials, labour, change orders, holdback and provincial lien or prompt-payment notes.
Common Canadian invoice mistakes
- Charging GST/HST before registration or after treating a supply as exempt without checking.
- Forgetting that PST, QST or RST may apply separately from GST/HST in some provinces.
- Using one generic invoice for vehicle repairs, health services or construction work that need job-specific records.
- Leaving off the service date, place of supply, business number or tax registration details when the customer needs them.
Frequently asked questions
Do Canadian invoices need GST/HST?
If the supplier is GST/HST-registered and the supply is taxable, the invoice should show the GST/HST treatment clearly. Small suppliers who are not registered generally should not charge GST/HST.
Is GST/HST always 5%?
No. The rate depends on province or territory and place-of-supply rules. HST provinces use combined rates, while some provinces also have PST, QST or RST.
Do medical services charge GST/HST?
Many health, medical and dental services by licensed physicians or dentists for medical reasons are exempt, but products, cosmetic services or admin charges can require separate review.
