What a Canadian consulting invoice should include
- Consultant or firm name, business number or GST/HST account number where applicable, contact details and payment instructions.
- Client legal name, billing address, accounts-payable contact and client tax reference when needed.
- Project, proposal, statement of work, purchase order, cost centre or approval reference.
- Service period, workshop date, milestone date or delivery window.
- Fee basis: hourly, day rate, fixed fee, monthly retainer or milestone.
- Deliverables, workshops, reports, implementation support, expenses and disbursements on separate lines.
- GST/HST, QST where applicable, retainer applied, amount paid and balance due.
GST/HST, QST and small-supplier status
If a Canadian consultant is registered and the consulting supply is taxable, show GST/HST clearly. CRA registration guidance describes the small-supplier threshold, so do not charge GST/HST if you are not registered.
