Canadian legal invoices need matter-level clarity. Professional fees, client disbursements, trust funds and tax should be separated so the client can review the bill and the practice can reconcile it against the matter ledger.
What a Canadian legal invoice should include
- Law practice name, business number or GST/HST account number where applicable, contact details and payment instructions.
- Client name, billing address, matter number and matter name.
- Responsible lawyer or practitioner and law society or registration number where relevant.
- Billing period and fee arrangement: hourly, fixed fee, retainer or contingency context.
- Professional fees and time entries separated from client disbursements.
- Court fees, filing fees, counsel, searches, process server, courier and copying labelled clearly.
- Trust or retainer funds applied, payment received, GST/HST, provincial tax where applicable and balance due.
GST/HST, QST and BC PST on legal services
CRA guidance treats taxable professional services as subject to GST/HST when the supplier is registered and the supply is taxable. Quebec legal billing can also require QST review.
British Columbia PST Bulletin 106 says PST applies to legal services and describes the 7% PST treatment, including how taxable legal services and certain disbursements are handled. Keep legal fees and disbursements separate so provincial tax can be reviewed correctly.
Trust money, retainers and disbursements
If trust or retainer money is applied, show it as a payment or credit rather than hiding it inside the fee line. The PDF invoice does not replace trust-account records, cost disclosure, retainer agreements or law society requirements.
Separate court filing fees, registry charges, searches, counsel, courier, printing and professional fees so the client can see what was paid as a client cost and what was charged by the firm.
