How to use a UK invoice template

A template is best when you want a reusable file, a consistent layout for your team, or an offline invoice format you can duplicate for each job. In the UK, the template should still reflect your legal status, VAT position and the nature of the work.

Keep the statutory invoice basics visible

A UK invoice should show the invoice number, business details, customer details, description, supply date, invoice date, amounts, VAT amount if applicable and the total owed. Sole traders should include their own name, any business name and an address for legal documents if using a trading name.

If you are a limited company, use the registered company name as shown on the certificate of incorporation. If directors are named, the same GOV.UK guidance says all directors must be named.

Choose the format by workflow

Use Google Sheets or Excel when you want formulas for subtotal, VAT, CIS deductions, deposits, retention and balance due. Use Google Docs or Word when you need a more narrative document with job notes, warranty terms, clinical context, scope of work or payment instructions.

Save a clean master file, duplicate it for each customer or job, then keep the issued copy with your records. VAT-registered businesses should still keep VAT records and follow Making Tax Digital requirements where they apply.

Make the template fit the trade

  • Builders: site address, contract reference, UTR, CIS, retention and reverse charge notes.
  • Garages: vehicle registration, mileage, parts, labour, MOT fee and warranty notes.
  • Private practice: patient, treatment date, provider registration and VAT-exempt medical wording.

Do not turn a template into a false VAT invoice

If you are not VAT registered, do not add a VAT registration number or VAT amount. If you are VAT registered and both you and the customer are VAT registered, GOV.UK says VAT invoices must be used and include more information than non-VAT invoices.

Can a UK sole trader use these templates?

Yes if you are VAT registered and include the required VAT details. Do not charge VAT or describe the file as a VAT invoice if you are not VAT registered.
