How to use a UK construction invoice template
A UK construction invoice template should do more than calculate a total. It should preserve the site address, contract reference, valuation period, stage, retention, CIS treatment and VAT wording that the payer needs before approving payment.
Use the template as a reusable file for subcontract packages, builder progress claims, staged invoices and construction-chain work where a generic invoice would not leave enough audit trail.
Fields to keep in the template
- Contractor or subcontractor name, address, contact details and VAT number if registered.
- Customer, main contractor or developer name, billing address and purchase order.
- Site address, contract reference, valuation number and period covered.
- Measured work, labour, materials, plant, variations and extras separately.
- Retention held, retention released, deposit or previous payment deductions.
- CIS deduction from labour or non-material amounts where applicable.
- VAT, domestic reverse charge or no-VAT wording matching the job.
CIS and labour split
HMRC CIS guidance says deductions are made from the non-material part of a subcontractor payment. Keep labour, materials, plant hire and VAT distinct so the payer can calculate the deduction correctly.
Do not build CIS into every construction template. Private householders are not contractors for CIS, and some suppliers may have gross payment status.
VAT domestic reverse charge
GOV.UK says the domestic reverse charge applies to most building and construction services supplied between VAT-registered businesses where the services are reported under CIS. The template includes space for reverse-charge wording because normal VAT charging is not always correct in the construction chain.
Retention and staged payments
Use the same master file for each stage by duplicating it and updating the valuation period, cumulative work, retention held or released and previous payments. This keeps the payment history consistent across the contract.
