How to use a UK insurance broker invoice template

A UK insurance template needs policy detail, not generic sales-invoice wording. Keep the policyholder, insurer, cover period, class of business, transaction type, FCA FRN, premium, IPT and broker-fee lines in the master file.

Fields to keep in the template

  • Broker or agency details and FCA Firm Reference Number.
  • Policyholder, insured risk, insurer and policy number.
  • Cover period, class of insurance and transaction type.
  • Premium, broker fee, policy admin fee, instalment charge and return premium separately.
  • Payment terms, renewal notes, client-money instructions and cancellation wording.

VAT exemption and IPT

HMRC Notice 701/36 says insurance transactions are exempt from VAT and that IPT is a separate tax. Notice IPT1 gives the current standard IPT rate as 12% and the higher rate as 20% for selected insurance.

Use the template to avoid mixing VAT language into an insurance premium document. If you charge a separate non-insurance service, review that fee separately.

Adjustments and return premiums

Mid-term adjustments and cancellations should not be hidden as informal discounts. Use a dated endorsement or cancellation line and show return premiums as negative amounts tied to the policy reference.

Is this a VAT invoice?

No. UK insurance transactions and insurance brokers acting as intermediaries are generally VAT-exempt; IPT is separate from VAT.

Should I include IPT?

Yes when relevant, but make clear whether the premium is gross of insurer IPT or whether a separate IPT line is being shown for transparency.

Can I use it for return premiums?

Yes. Add a negative return-premium line with the endorsement or cancellation reference.
