How to use a UK commercial invoice template
A commercial invoice template is for customs clearance and shipment valuation. It is different from a payment invoice and different from a freight invoice, so keep the goods description, value, origin and EORI fields in the master file.
Fields to keep in the template
- Exporter name, address, VAT number if relevant and GB EORI.
- Importer, buyer or consignee details and destination tax ID where available.
- Reason for export, Incoterms 2020 rule and named place.
- Detailed goods description, commodity or HS code, country of origin and quantity.
- Unit value, currency, total value, packages, gross weight, freight and insurance.
- Declaration, name, position, date and signature.
EORI, commodity code and export value
GOV.UK says a GB EORI is needed to export goods from England, Wales or Scotland. GOV.UK also says commodity codes are internationally recognised reference numbers used for import declarations and to work out Customs Duty and import VAT.
For goods that are not being sold, GOV.UK export guidance says to use the market value on the invoice and list included freight or export insurance separately.
VAT zero rating and proof
HMRC VAT Notice 703 explains the conditions for zero-rating exported goods when they leave the UK. Keep export evidence and make sure the commercial invoice matches carrier, customs and packing-list paperwork.
