How to use a UK plumbing invoice template
A plumbing invoice template is useful when your business repeats the same call-out, labour, parts and warranty fields across many jobs. In the UK, the template should also handle landlord properties, Gas Safe references and construction-chain tax fields when relevant.
Fields to keep in the template
- Plumber or business details, VAT number if registered and payment details.
- Customer, billing address, service address and property reference.
- Job date, call-out time, technician and work-order reference.
- Diagnosis, labour, pipework, fittings, drainage, parts and emergency charges separately.
- Gas Safe engineer and record reference where gas appliance work is involved.
- CIS, domestic reverse-charge, VAT and warranty notes where needed.
Gas Safe and service records
HSE says gas safety checks must be carried out by a Gas Safe registered engineer, and gas safety records include details such as appliance, engineer, date, property and defects. Keep those references on the template when gas work is involved.
CIS and VAT
Construction-chain plumbing work may need CIS deduction and, for VAT-registered businesses, domestic reverse-charge wording. Ordinary homeowner call-outs normally do not.
FAQs about UK plumbing invoice templates
Can I use this for landlord plumbing work?
Yes. Add the property address, tenant or property reference, job date and work-order number.
Should Gas Safe details always appear?
Only where the work involves gas appliances, flues, checks or connections. Wet plumbing alone does not require Gas Safe wording.
Should parts and labour be separate?
Yes. It helps customers understand the work and supports CIS or VAT review where those rules apply.
