Plumber invoice generator for the UK

Create a UK plumbing invoice for call-outs, leak repairs, bathroom plumbing, pipework, drainage, heating-related plumbing, parts, labour, emergency charges and subcontract work. Add the service address, job reference, parts, labour, VAT, CIS deduction and Gas Safe or building-control notes where relevant.

UK plumbing invoices often need more than a generic parts-and-labour total. A domestic call-out, a CIS subcontract package, an energy-saving-material installation and work touching gas appliances can each need different wording.

What a UK plumbing invoice should include

Use the service address, not just the billing address. Landlords, letting agents, insurers and property managers often approve plumbing invoices by matching the job to a specific property, flat, room, bathroom or plant area.

  • Plumber or business name, address, contact details and VAT number if registered.
  • Customer name, billing address and service address.
  • Job reference, call-out time, service date and technician.
  • Diagnostic visit, labour, parts, fittings, pipework, drainage, disposal and emergency charges separately.
  • Gas Safe registration and certificate reference if any gas appliance work is involved.
  • VAT rate, CIS deduction or domestic reverse-charge note where applicable.
  • Warranty on labour, parts supplied and exclusions for customer-supplied parts or existing pipework.

Gas Safe boundary

HSE guidance says gas safety checks must be carried out by a Gas Safe registered engineer. It also explains that a non-registered person may do wet work, but work on a gas boiler or final gas connection must be done by someone Gas Safe registered.

If the plumbing job involved a boiler, gas appliance, flue, gas safety record or commissioning, include the Gas Safe registration, engineer name and certificate or record reference in the notes.

CIS and VAT domestic reverse charge

Plumbers working as subcontractors on construction projects may need CIS deduction. HMRC says CIS deductions are taken from the non-material part of the payment, so labour and materials should be clearly split.

The domestic reverse charge can apply to plumbing, heating and related construction services supplied between VAT-registered businesses where the work is within CIS. It usually does not apply to ordinary homeowner call-outs.

VAT on plumbing and energy-saving work

Most UK plumbing work is standard-rated for VAT when supplied by a VAT-registered business. GOV.UK also lists reduced or zero-rate reliefs for specific building and energy-saving work, including qualifying energy-saving materials in residential accommodation and charity buildings.

HMRC Notice 708/6 includes insulation for water tanks, pipes and plumbing fittings in energy-saving-material guidance. Keep qualifying energy-saving work separate from ordinary repairs so the VAT treatment can be checked.

Building regulations notes

GOV.UK says some plumbing and heating work can need building-regulations approval, including plumbing in a bathroom, replacing a heating system and adding radiators. Emergency repairs to a boiler or heating system do not need advance approval, but the rules still apply.

Where approval, self-certification or a competent-person scheme reference is relevant, put the certificate or notification reference in the invoice notes.

Common UK plumbing invoice mistakes

  • Not showing the service address for landlord, letting-agent or insurer work.
  • Mixing diagnosis, labour, parts and emergency surcharge into one unclear line.
  • Doing gas-appliance wording without Gas Safe registration or record details.
  • Forgetting CIS or reverse-charge wording on construction-chain subcontract work.
  • Applying energy-saving VAT relief to ordinary repairs without checking the rules.
  • Failing to separate customer-supplied parts from parts supplied by the plumber.
