How to use a UK freelance invoice template
A freelance invoice template is useful when you bill repeat clients, monthly retainers, project milestones or ad hoc services. In the UK, the template should make your self-employed or sole trader status clear and should not pretend to be a VAT invoice unless you are VAT registered.
Keep one clean master file, duplicate it for each client or month, and save the issued version with your records.
Fields to keep in the template
- Your name, trading name, address, email and payment details.
- Client company name, address, purchase order and contact.
- Invoice number, invoice date and supply or service period.
- Project, deliverables, hours, day rate, fixed fee or milestone.
- Expenses and reimbursements on separate lines.
- VAT number and VAT amount only if VAT registered.
Sole trader and VAT wording
GOV.UK says sole trader invoices should include the trader name, any business name used and an address where legal documents can be delivered if a business name is used.
If you are not VAT registered, leave out VAT number and VAT amount. GOV.UK currently sets the compulsory VAT registration threshold at GBP 90,000 of taxable turnover, with rules based on the last 12 months or expected next 30 days.
Project approval and payment
Use the service period, PO and project reference fields to help the client approve payment quickly. For retainers, write the month covered. For milestones, name the deliverable. For hourly work, include the date range and rate.
FAQs about UK freelance invoice templates
Can I use this template without a VAT number?
Yes. If you are not VAT registered, issue a normal invoice with no VAT number and no VAT charged.
Should I include my trading name or personal name?
Include your own name and any trading name you use. GOV.UK also expects an address for legal documents when a sole trader uses a business name.
What file format should freelancers use?
Use Sheets or Excel for calculations and recurring retainers. Use Docs or Word when you want a more polished document with longer scope or payment notes.
