How to use a UK subscription invoice template
A subscription template should be built around the service period. Keep billing period, plan, seat count, subscription ID, payment method and next billing date in the master file so each renewal invoice is easy to reconcile.
Fields to keep in the template
- Supplier details, VAT number if registered and customer billing details.
- Subscription ID, account ID, plan, billing period from and to, and next billing date.
- Seats, licences, usage allowance, API calls, storage or other billing metric.
- Monthly, annual, onboarding, support, overage and add-on line items.
- Proration charges and unused-time credits as separate rows.

UK VAT and cross-border customers
HMRC says digital services supplied to UK consumers are liable to UK VAT, while digital services supplied to consumers outside the UK may be liable in the customer’s country. GOV.UK also states that a UK business must register for VAT once taxable turnover exceeds 90,000 pounds.
