Subscription invoice generator for UK SaaS and recurring billing

UK subscription billing is not just a normal one-off invoice repeated monthly. The customer needs to see which service period is covered, what plan or seats changed, whether any credit is being applied and what happens at renewal.
What a UK subscription invoice should include
GOV.UK says an invoice should include a clear description of what is being charged, the supply date, invoice date, amounts, VAT if applicable and total owed. For subscriptions, the billing period is the practical supply-period anchor, so keep it visible in the header and line descriptions.
- Supplier details, VAT number if registered and customer billing details.
- Subscription or account ID, plan name and billing period from and to.
- Seat count, licence count, usage tier, storage, API calls or other billing metric.
- Proration charges for upgrades, downgrades, added seats or removed users.
- Credits for unused time on a previous plan as separate negative lines.
- Payment method, amount already charged, next billing date and renewal or cancellation notes.
UK VAT, B2B reverse charge and B2C digital services
For UK customers, SaaS and recurring digital services are normally standard-rated if the supplier is VAT registered. GOV.UK’s VAT registration guidance gives the registration threshold as 90,000 pounds of taxable turnover, and taxable turnover includes standard-rated, reduced-rated and zero-rated sales.
For cross-border digital services sold to private consumers, HMRC says the place of supply is where the consumer is located. Digital services supplied to UK consumers are liable to UK VAT; services supplied to consumers outside the UK may be liable in the customer’s country. For cross-border B2B services, the customer is generally responsible for VAT under reverse-charge rules in their own country.
Proration, trials and renewal clarity
Proration is one of the main reasons subscription invoices cause support tickets. If a customer adds seats mid-month, show the prorated seat charge separately. If they downgrade, show the unused-time credit as a negative line with the date range.
The UK Digital Markets, Competition and Consumers Act 2024 created a framework for subscription-contract reforms. Even while final operational rules evolve, invoices should make renewal dates, next billing dates, plan changes and cancellation notes easy to understand.
Subscription invoice vs receipt
Use an invoice when you are billing for a service period or recording an automatic charge. Use a receipt only to confirm payment. For enterprise customers, a monthly billing statement may summarise several subscription invoices, credits and usage charges.
