How to use a UK freight invoice template
A freight template is useful when you repeatedly bill routes, shippers, consignees or accessorial charges. Keep shipment references and VAT evidence fields in the master file so each invoice can be reconciled to dispatch and customs paperwork.
Fields to keep in the template
- Carrier, forwarder or logistics provider details and VAT number if registered.
- Customer, payer, shipper, consignee, PO or job reference.
- Consignment note, bill of lading, air waybill, tracking number or shipment reference.
- Origin, destination, ship date, delivery date, weight, pallets, cartons or pieces.
- Linehaul, fuel surcharge, tail lift, waiting time, demurrage, storage and customs documentation separately.
UK freight VAT
HMRC VAT Notice 744B says freight transport with a UK place of supply is standard-rated unless it is connected with an import, export or other zero-rating rule. The same notice says providers should hold commercial documentation for import or export zero-rating.
Template or commercial invoice
This template bills transport services. A commercial invoice describes the goods for customs. If the document needs HS codes, origin and Incoterms for customs clearance, use the commercial invoice template instead.
FAQs about UK freight invoice templates
Should domestic and export freight be separate?
Yes. The VAT treatment can differ, so split domestic, import and export movements clearly.
What evidence should I keep?
Keep contracts, consignment notes, bills of lading, air waybills, customs documents, customer orders and sales invoices where relevant.
Can forwarders use this?
Yes. It is built for carriers, forwarders, brokers and logistics teams billing freight services.
