Freight invoice generator for UK logistics and forwarding

UK freight billing depends heavily on whether the movement is domestic, import, export or outside the scope of UK VAT. HMRC VAT Notice 744B says UK-place freight transport is standard-rated unless a zero-rating rule applies, while import and export freight can be zero-rated when the conditions and evidence are met.

What a UK freight invoice should include

A freight invoice should let accounts payable match the charge to the shipment without asking for dispatch notes. Include the consignment note, bill of lading, air waybill, tracking reference or shipment reference, then show the route, shipment date, weight and accessorials.

  • Carrier, forwarder or logistics provider details and VAT number if registered.
  • Customer, shipper, consignee or payer details, plus PO or shipment reference.
  • Consignment note, bill of lading, air waybill, tracking or load reference.
  • Origin, destination, collection date, delivery date, weight, pallets, cartons or pieces.
  • Linehaul, fuel surcharge, tail lift, waiting time, detention, demurrage, storage and customs documentation separately.
  • VAT treatment note for domestic, import, export or outside-scope services.

Domestic freight, import and export VAT

HMRC Notice 744B says freight transport with a UK place of supply is standard-rated except where it is connected with an import, export, handling or storage zero-rating rule. GOV.UK’s VAT rate table also states that freight transport to or from a place outside the UK is 0%, while domestic freight is standard-rated unless it is the domestic leg of an international movement.

Do not use one blended VAT line for mixed work. If the same customer has a UK-only delivery and an export movement, separate the lines so the VAT treatment follows the actual journey and evidence.

Evidence for zero-rated freight

Notice 744B says providers should hold commercial documentation showing that the service is connected with a specific import or export movement. Useful evidence can include contracts, consignment notes, bills of lading, air or seaway bills, customs declaration forms, customer orders and sales invoices.
