What a UK haulage invoice should include

A useful haulage invoice ties the amount due to the load evidence and agreed rate. The payer should be able to match it to the load reference, consignment note, delivery note, proof of delivery or purchase order without re-contacting the driver.

  • Haulier or owner-driver name, address, VAT number if registered and payment details.
  • Customer, broker, shipper or forwarder details, plus PO or job reference.
  • Load reference, consignment note, delivery note, CMR or POD reference.
  • Pickup and delivery locations, dates, lane and vehicle registration.
  • Rate basis: flat load rate, mileage, day rate, hourly waiting time or agreed surcharge.

VAT on UK haulage

For UK-place freight and haulage, HMRC Notice 744B says the supply is standard-rated unless it is connected with an import, export, qualifying handling/storage rule or another zero-rating rule. GOV.UK’s VAT rates table says freight transport to or from a place outside the UK is 0%, while domestic freight is standard-rated unless it is the domestic leg of an international movement.
