What should an HVAC invoice include?

Beyond the standard invoice fields, a proper HVAC invoice identifies the equipment serviced, records what refrigerant was added, and — in some markets — carries a licence or certification number the law requires you to show.

  • Job/service address, if different from the billing address
  • Equipment make, model and serial number — needed for manufacturer warranty claims and service history
  • Service type: installation, repair, maintenance or emergency call-out
  • Technician name and licence/certification number
  • Refrigerant type and quantity added, priced per lb/kg
  • Work order, quote or maintenance-agreement reference
  • Diagnostic and trip/call-out fees shown as their own line, not buried in labour

Documenting refrigerant on the invoice

Refrigerant is the one line every HVAC invoice needs to get right. In the US, technicians must document the type and quantity of refrigerant added on the service invoice for regulated appliances under EPA Section 608, extended by the AIM Act's HFC leak-repair rule to smaller appliances from 2026. In the EU, F-gas Regulation (EU) 2024/573 requires operators to keep records of gas type, quantity added, leak checks, and the identity of the certified servicing company — the invoice is the natural evidence document for this. In Australia, the ARC Refrigerant Trading Authorisation (RTA) number is a statutory requirement on invoices, receipts and quotes for refrigerant work, not just best practice.

Reduced VAT rates for heat pumps and heating equipment

Heat pumps are politically favoured across much of Europe, while fossil-fuel heating is increasingly penalised — this creates a denser patchwork of conditional reduced rates than almost any other trade. The UK zero-rates installation of energy-saving materials including air-source heat pumps (time-limited — check gov.uk for the current end date); France splits rates by equipment type (5.5% heat pumps, 10% air-air labour only, 20% fossil boilers); Belgium taxes fossil-fuel components at 21% and non-fossil components at 6%; Spain requires materials to stay under 40% of the taxable base for its 10% rate to apply; Italy caps its 10% agevolata rate at the labour value for "beni significativi" like climate equipment, with the rest at 22%. None of these rates apply automatically — check your job's eligibility before selecting a rate, and never mix rates on a single invoice; split mixed jobs into separate invoices instead.
