What a US plumbing invoice should include
The service address is the most important plumbing field after the customer name. Landlords, property managers, insurers and commercial customers often approve a bill only after matching it to a unit, suite, fixture, emergency ticket or work order.
- Plumbing business name, mailing address, phone and payment details.
- Customer, billing address, service address and site contact.
- License number, responsible plumber, permit or inspection reference where applicable.
- Job reference, quote, work order, service date and arrival/emergency notes.
- Diagnostic visit, labor, parts, fixtures, drain cleaning, camera inspection and disposal as separate lines.
- Warranty on labor and parts, plus exclusions for customer-supplied fixtures or pre-existing pipe conditions.
Repair, maintenance and capital improvement
State sales tax can depend on whether the job is repair/maintenance or a capital improvement. New York guidance, for example, says capital improvements to real property are not taxable to the customer when the requirements are met, while repairs and maintenance can be taxable.
For plumbing, that difference can matter on jobs such as fixing a leak, unclogging a drain, replacing a faucet, installing a water heater or adding a new fixture. Keep the scope, fixture and property address visible so the tax treatment can be reviewed.
Parts, fixtures and customer-supplied materials
Separate pipe, fittings, valves, seals, faucets, toilets, disposal parts, water-heater components and other fixtures from labor. If the customer supplied a fixture, say so in the notes because your warranty may cover installation labor but not the customer-purchased part.
Emergency calls, diagnostics and permits
Show call-out fees, after-hours surcharges, camera inspection and diagnostic fees as separate lines. If the job required a permit, inspection, code correction or certificate, include the reference so the invoice matches the compliance paperwork.
