How to use a US attorney invoice template
A legal invoice template should connect each charge to a matter, fee arrangement and billing period. It should separate attorney time from client costs, retainer credits and trust-account activity.
Use the template for hourly billing, fixed-fee phases, outside counsel matters, litigation expenses, transactional work and client-facing billing statements. Use a separate e-billing system if the client requires LEDES or portal submission.
Fields to keep in the template
- Firm name, address, phone, email, payment details and vendor reference where useful.
- Client name, billing address, matter number, matter name and client reference.
- Responsible attorney, timekeeper, State Bar number, billing period and fee arrangement.
- Dated time entries with task description, hours, rate and amount.
- Court fees, filing fees, process server, expert, transcript, travel, copying and other costs separate from fees.

Fees, costs and trust funds
ABA Model Rule 1.5 says lawyers may not charge unreasonable fees or expenses and should communicate the basis or rate of the fee and expenses. The template should make that basis visible through rates, time entries, fixed-fee phases or retainer wording.
ABA Model Rule 1.15 says client funds must be kept separate, and advance legal fees and expenses in trust are withdrawn only as fees are earned or expenses incurred. Show trust money applied as a payment or credit rather than burying it in a fee line.
Matter detail and e-billing
Corporate and insurer clients may require LEDES, UTBMS codes or portal submission. This template creates a client-readable PDF or spreadsheet record; it does not replace a required e-billing file.
