Attorney invoice generator for US law firms and legal professionals

Create a US attorney invoice for hourly work, fixed fees, retainers, contingency-cost billing, litigation expenses, transactional matters, outside counsel, insurance defense or legal consulting. Add matter number, matter name, responsible attorney, State Bar number, billing period, fee arrangement, time entries, costs, trust drawdown and balance due.

US legal invoices need matter-level clarity. They are reviewed by clients, finance teams, adjusters, auditors and sometimes fee-review vendors, so professional fees, costs, retainers and trust-account activity should not be compressed into one generic services line.

What a US attorney invoice should include

ABA Model Rule 1.5 says a lawyer may not charge an unreasonable fee or unreasonable expenses, and the basis or rate of the fee and expenses should be communicated to the client, preferably in writing. A useful invoice reflects that agreement clearly.

  • Firm name, mailing address, phone, email, payment instructions and tax or vendor details where appropriate.
  • Client name, billing address, matter number, matter name and client reference.
  • Responsible attorney, timekeeper, State Bar number where useful and billing period.
  • Fee arrangement: hourly, fixed fee, retainer, capped fee, blended rate or contingency-cost billing.
  • Dated time entries with task descriptions, hours, rate and amount.
  • Court fees, filing fees, process server, expert, transcript, travel, copying and other costs separated from professional fees.
  • Retainer or trust funds applied, payments received, balance due and any remaining retainer note.

Fees, costs and retainer drawdowns

Separate professional fees from client costs. A court filing fee, process-server charge or expert invoice is reviewed differently from attorney time, and corporate clients often require each category to match billing guidelines.

ABA Model Rule 1.15 says client funds must be held separately from the lawyer's own property, and advance legal fees and expenses deposited into a client trust account are withdrawn only as fees are earned or expenses incurred. If trust money is applied, show it as a payment or credit rather than hiding it inside the fee line.

Matter detail, time entries and e-billing

For hourly matters, include enough detail for the client to understand the task, date, timekeeper and duration. For fixed-fee work, name the deliverable or phase. For litigation, show filing, hearing, deposition, discovery, settlement or trial-preparation context where it helps approval.

Some corporate, insurer and outside-counsel clients require LEDES files, UTBMS task/activity/expense codes or portal submission. This generator produces a PDF invoice, so use it alongside any required e-billing workflow.

Sales tax and state-specific billing rules

Most US legal billing issues are governed by state professional-responsibility rules, engagement letters, client guidelines and trust-account requirements. Common US legal invoice mistakes

  • Omitting matter number, billing period or responsible attorney.
  • Combining attorney fees and reimbursed costs into one line.

  • Using vague descriptions like "legal services" for hourly work.
