How to use a Gibraltar invoice template
A template is useful when you want a reusable file you can duplicate for each job. In Gibraltar, the template should reflect the fact that there is no VAT or general sales tax on services, rather than including a VAT field left blank by habit.
Keep the template free of unnecessary tax fields
Gibraltar has never charged VAT, and that remains true for services in 2026. A new Transaction Tax applies only to goods, is collected at import based on cost price rather than charged at the point of sale, and the Gibraltar Government has explicitly said it does not apply to services. For a services template — labour, consulting, rentals, medical, construction — leave out the tax-rate line entirely.
If your template also covers goods sold to customers, do not itemize the Transaction Tax as a line on the customer invoice: it is a business-input cost paid at import, not a point-of-sale charge.
Choose the format by workflow
Use Google Sheets or Excel when you want automatic subtotals and totals. Use Google Docs or Word when you need a more narrative document with job notes, warranty terms or scope of work.
Invoice in GBP (£) as standard practice — the Gibraltar Pound is pegged 1:1 to GBP and GBP is freely used day to day, so GBP amounts are safe and familiar to Gibraltar customers.
Make the template fit the trade
- Garages: vehicle registration, VIN, mileage, parts, labour and Roadworthiness Test references — no VAT line.
- Private practice: patient, treatment date and GHA/GPMS context where relevant — no VAT line.
- Freelancers: Income Tax Office reference, project period and payment terms — no VAT line.
- Builders and contractors: planning-permit or Trade Licence reference, site address and payment terms — no VAT line.
- Landlords: tenant, rental period and Income Tax Office Form S4 registration note — rental income is still taxable even though there is no VAT.
Frequently asked questions
Should a Gibraltar invoice template include a VAT field?
No, not by default. Gibraltar has never charged VAT and services remain untaxed in 2026. Only businesses selling goods need to think about the new Transaction Tax, and even then it is collected at import rather than itemized on the customer invoice.
Which template format should I download?
Choose Sheets or Excel for automatic totals, or Docs or Word for a document-style invoice with longer notes. Many Gibraltar businesses keep both.
What currency should the template use?
GBP is standard and safe. The Gibraltar Pound is pegged 1:1 to GBP, and GBP is freely used day to day in Gibraltar.
Do I need to show a company registration number?
If you operate through a Gibraltar company, reference your Companies House Gibraltar registration number generically on the invoice; if you are self-employed, reference your Income Tax Office registration instead.
