Yes, in almost every market — photography and videography services are standard-rated for VAT/GST purposes in the EU, UK (20%), Switzerland/Liechtenstein (8.1%), Norway (25%), Australia (10% GST, registration mandatory above A$75,000 turnover), Japan (10% consumption tax), and Mexico (16% IVA). In the US it depends on the state and on whether the deliverable is tangible (prints, albums) or digital — see the digital-delivery FAQ below.

Should usage rights or licensing be on the invoice?

Accepted Answer

Yes — this is the single biggest thing generic invoice templates miss for this industry. Usage/licensing terms (personal vs commercial use, which media, what territory, how long the license lasts) should appear both in the header and, when they carry a separate fee, as their own line item billed as rights rather than labor — for example "Usage license — commercial use, web + print, 12 months." If a client's needs expand later (say, from web-only to a national ad campaign), bill the difference as a "usage upgrade" line rather than renegotiating the whole invoice.

How do I invoice a wedding — deposit, retainer and balance?

Accepted Answer

Most wedding photographers and videographers take a non-refundable retainer (commonly 25–50%) at booking to secure the date, with the balance due before or shortly after the event — a common split is 30% at booking / 70% one week before the wedding, or three equal installments. Use "retainer," not "deposit," in your wording (they have different legal meanings), and show it as a negative credit line on the final invoice so the client sees the full package price, the retainer already paid, and the balance due.

Is digitally delivered photography taxable in the US?

Accepted Answer

It depends on the state. Digital-only delivery is not taxable in California, New York or Tennessee, but IS taxable in Washington and in roughly 20 other states that tax digital goods. Tangible deliverables — prints, albums, USB drives, framed pieces — are taxable in essentially every sales-tax state. Watch the "bundling trap" too: in many states, if a tangible product is bundled into a session fee, the whole fee can become taxable under the "true object" doctrine, so keep digital and physical deliverables on separate invoice lines.

What's the difference between a deposit and a retainer?

A deposit is generally refundable and secures a future service; a retainer is generally non-refundable and compensates the photographer for turning away other bookings on that date — the wedding-photography industry treats this distinction as important contract language, not just wording preference. Whichever term your contract uses, show it as a credit against the final balance on the invoice, not as a silent reduction of the total.

Do I charge 19% or 7% VAT as a photographer in Germany?

Accepted Answer

The standard rate of 19% applies to photographic work in almost all cases. The reduced 7% rate only applies where the genuine economic focus of the invoice is the grant of copyright usage rights (Lizenzhonorar) rather than delivery of the photos themselves — German courts have held that portrait and wedding photography is 19% even when the photographer claims artistic/copyright status, because the client's real interest is the images, not the rights. Because this is a whole-invoice determination (not a per-line split our engine could apply automatically), confirm which rate genuinely applies to your invoice before selecting it, or split shoot fees and licensing fees onto two separate invoices if they should carry different rates.

Does my client withhold tax from my photography invoice?

Accepted Answer

In several markets, yes. Spain requires business/professional clients to withhold 15% IRPF (7% in your first three years as an autónomo). Portugal's recibo verde system requires IRS withholding at 23% (payers may elect 25%) unless your annual income is below roughly €15,000 or the client is a private individual. Italy applies a 20% ritenuta d'acconto for ordinary-regime professionals (forfettario photographers are exempt but must add statutory wording instead). Japan withholds 10.21% (20.42% above ¥1,000,000 to the same payee) on fees for photographs used in print media — web-only use is typically outside this list. This tool models withholding as an informational negative line or a notes disclaimer; it does not calculate net-of-withholding totals automatically.

Is there a reduced VAT rate for copyright or licensing fees on my invoice?

Accepted Answer

In a handful of EU countries, yes, but only for the licensing/copyright component, not the shoot itself — which our one-rate engine cannot split on a single invoice. Germany applies 7% only to genuine copyright-licensing supplies (rarely applicable to ordinary shoots — see above). France applies 10% to cessions de droits d'auteur by a genuine photographe-auteur, and this rate can cover the whole author invoice. Poland applies 8% only where a written contract transfers the author's economic rights for a honorarium, versus 23% for ordinary photographic services. Italy applies 10% only to signed, numbered fine-art photographs (≤30 copies) — ordinary wedding/commercial packages stay at 22%. If your job genuinely mixes a standard-rated shoot with a reduced-rate licensing fee, either apply the standard rate to the whole invoice or split it into two invoices (one per rate) — the second is also what tax advisers commonly recommend for clean licensing invoices in these markets.

Do I need to be registered or have a tax ID to invoice a shoot?

In most countries, yes, though many let you trade below a small-business threshold without charging VAT/GST — Germany's Kleinunternehmer (§19 UStG), France's franchise en base (auto-entrepreneur), Italy's regime forfettario, Portugal's artigo 53.º exemption, the UK's below-£90,000 unregistered threshold, and Brazil's MEI registration (photography/filming under CNAE 7420-0/01 or 7420-0/04) are all common routes for photographers and videographers specifically. Confirm your current threshold and registration status with your local tax authority before invoicing.

Can I invoice raw footage or RAW files as a separate deliverable?

Accepted Answer

Yes — raw footage handover and RAW file delivery are increasingly billed as their own line item (e.g. "Raw footage handover — 500 GB drive"), reflecting the extra storage, organization and handling time involved, distinct from the edited final deliverable.

Question 11

Should travel costs be a separate line item?

Accepted Answer

Yes, for two reasons: clients expect to see travel, accommodation and mileage broken out from the core package fee, and in Germany, invoicing travel separately can reduce the client's Künstlersozialabgabe (KSK) levy base, since the levy is calculated on the artistic fee rather than reimbursed expenses.
