What a US rent receipt should include
A bank transfer or payment-app confirmation proves money moved, but it does not always prove which unit, month, tenant, lease or fee the payment covered. A rent receipt should make that clear for the tenant, landlord, property manager, guarantor, bookkeeper or court file.
- Landlord, property manager or rental business name and contact details.
- Tenant name, property address, unit, room, parking space or storage unit.
- Lease, account, property-management or internal reference.
- Rental period covered, payment date received and payment method.
- Monthly rent, prorated rent, late fee, parking, storage, pet rent, utilities or deposits on separate lines.

Use a receipt when rent has already been paid. Use an invoice or rent bill when you are requesting payment before the due date. Use a tenant ledger or statement when you need to show multiple months, arrears, credits, deposit activity or several properties.

Rental income, advance rent and security deposits
IRS Publication 527 explains federal tax treatment for residential rental property, including rental income, advance rent and security deposits. For receipts, the practical lesson is to label each payment accurately: rent, advance rent, fee, refundable deposit, forfeited deposit or tenant-paid expense.
A refundable security deposit should not be mixed into monthly rent. Show it as a separate refundable deposit line so your records distinguish money held for the tenant from rent earned for the period.
Residential, commercial and short-term rental context
Long-term residential rent usually does not look like a retail sales-tax invoice, but short-term lodging, furnished rentals, parking, cleaning fees and commercial space can trigger different state or local taxes. Keep each charge on its own line so the receipt can be reviewed against local rules.
If the payment is for nightly lodging, hotel-style occupancy, platform stays or transient rentals, use lodging-specific records rather than treating it like ordinary monthly rent.
