How to use a US consulting invoice template

A consulting template is useful when you bill repeat clients, retainers, workshops, hourly work, day rates, milestones or fixed-fee advisory projects. In the US, the template should support corporate vendor onboarding, W-9/1099 workflows and state tax review without becoming a tax form.

Keep one clean master file, duplicate it for each engagement or billing period and save the issued copy with the SOW, approval, expense receipts and payment record.

Fields to keep in the template

  • Consultant or firm name, mailing address, email, phone and payment instructions.
  • Client company, accounts-payable contact, billing address and purchase order.
  • Engagement, project, SOW, proposal, workstream or cost-center reference.
  • Service period, milestone date, workshop date or delivery window.
  • Fee basis: hourly, day rate, fixed fee, monthly retainer or milestone.
  • Expenses, travel, subcontractor costs, retainer credits, amount paid and balance due.

W-9 and 1099-friendly records

IRS Form W-9 is used to provide a payer with the correct taxpayer identification number, and Form 1099-NEC is used to report nonemployee compensation. The template is for billing; tax IDs should usually be handled through W-9 or vendor onboarding, not printed on every invoice.

IRS Publication 583 emphasizes keeping business records that support income, expenses and financial statements. A consulting template with project, period and deliverable detail is easier to reconcile later than a one-line services receipt.

Retainers, milestones and expenses

For retainers, state the month, included advisory scope and any overage. For milestones, name the accepted deliverable. For hourly or day-rate work, use units, dates and rates so the client can match the invoice to timesheets or approvals.
