US cleaning invoices need to identify the service address, not just the billing customer. A landlord, tenant, property manager, office, school, clinic or construction contractor may all need different detail: service period, visit count, rooms, checklist, supplies, disinfectants, purchase order and state sales-tax treatment.
What a US cleaning invoice should include
A cleaning invoice should preserve the job context and the approval trail. The billing address may be a corporate office or property manager, while the cleaned property is a home, apartment, suite, unit, construction site or commercial facility.
- Cleaning business name, mailing address, phone, email and payment instructions.
- Customer name, billing address, service address, unit, suite or site contact.
- Service date or service period, visit count, frequency and work order or PO.
- Service type: recurring house cleaning, janitorial, office, move-out, deep clean, carpet, windows, post-construction or disinfection.
- Labor, hours, rooms, checklist tasks, supplies, consumables, equipment and disposal separately.

State sales tax on cleaning services
Cleaning sales tax is state-specific. Texas lists janitorial and custodial services as taxable real property services, and also lists laundry, garment, carpet, rug and upholstery cleaning as taxable. Other states can treat residential, commercial, carpet, janitorial or post-construction cleaning differently.
Keep labor, supplies, carpet cleaning, laundry, disinfecting, equipment rental and disposal lines separate so the correct state and local rule can be applied instead of using one generic taxable amount.
Disinfecting, chemicals and safety records
EPA List N guidance says listed products are expected to kill SARS-CoV-2 when used according to label directions, and EPA notes those products are for surfaces, not people. If your invoice charges for disinfecting, record the service area and product or product category without turning the invoice into a safety manual.
Cleaning chemicals, SDS files, staff training and site safety records belong in your operations file. The invoice should contain enough detail for billing, approval and service history.
Recurring contracts, move-out cleans and post-construction work
For weekly, biweekly or monthly cleaning, use the service period and number of visits.
