What a US photography invoice should include
The invoice should connect the payment to the shoot and the deliverables. That helps couples, agencies, brands, real estate teams, publishers and corporate marketing teams reconcile the invoice against a booking, PO or license.
- Photographer, videographer or studio name, address, contact details and payment instructions.
- Client name, billing address, project, campaign, event or PO reference.
- Shoot date or date range, location, venue and session or package type.
- Deliverables: edited image count, gallery, prints, album, video length, social clips, raw footage or usage license.
- Usage rights: personal, commercial, web, social, paid ads, print, broadcast, territory, duration and exclusivity.

Copyright and usage rights
The US Copyright Office says copyright protects original works of authorship fixed in a tangible medium, including photographs, and protection exists from the moment the work is created. Registration is generally voluntary, but it is required if a US work owner wants to bring an infringement lawsuit.
Use the usage-rights field to state what the client receives: personal use, web, social media, paid ads, print, packaging, press, broadcast, territory, term and exclusivity. For commercial work, the license can be more valuable than the shoot time.
Sales tax on prints, albums and digital files
Photography sales tax is state-specific. Texas lists taxable labor by photographers, draftsmen, artists and similar businesses in its taxable-services publication. Other states may tax tangible products such as prints and albums while treating purely digital delivery differently.
Keep session fee, editing, digital gallery, prints, albums, frames, USB drives, shipping and licensing separate so the correct state rule can be applied line by line.
Retainers, travel and delivery
For weddings and events, show the booking retainer as a payment or credit against the final package. For commercial work, include PO, campaign, usage and delivery date. For real estate, identify the property and add floorplan, drone, video or virtual-tour deliverables separately.
