How to use a US HVAC invoice template
An HVAC invoice template should do more than list labor and parts. For US service work, the file should identify the property, equipment, model, serial number, technician, refrigerant, maintenance plan, warranty and any permit or inspection reference.
Use the template as a master file for service calls, preventive maintenance, AC repair, furnace repair, heat pumps, commercial refrigeration support and small installations. Duplicate it for each job and save the issued copy with photos, work orders, service history and payment records.
Fields to keep in the template
- HVAC business details, license number where relevant and payment instructions.
- Customer, billing address, service address, unit, site contact and work order.
- Technician, service date, equipment type, brand, model, serial number and location.

Refrigerant and EPA Section 608 detail
EPA says technicians who maintain, service, repair or dispose of equipment that could release regulated refrigerants must be certified under Section 608. When refrigerant is added, recovered or leak-related service is performed, keep those details visible.
The eCFR requires persons servicing appliances normally containing 50 or more pounds of refrigerant to provide invoice or other documentation showing the amount of refrigerant added, and owners/operators must keep certain service records. Even for smaller systems, refrigerant quantity and type are useful service-history fields.
AC, furnace and heat pump service records
Department of Energy consumer guidance explains that heat pumps transfer heat and can provide both heating and cooling. A good template should therefore support cooling, heating and heat-pump language without forcing every job into an AC-only format.
Use separate rows for diagnostics, repair labor, parts, refrigerant, filter changes, coil cleaning, maintenance plan charges and warranty-covered work so the customer can understand what is billable.
