This page is written for US freelancers rather than generic international invoicing. It reflects how business clients onboard contractors with Form W-9, how payments may be reported on Form 1099-NEC when required, and why ordinary freelance invoices usually should not expose an SSN or EIN.
What a US freelance invoice should include
A good freelance invoice helps the client approve the work and helps you keep income records. It should identify the project, period and deliverables clearly enough that accounts payable can match the invoice to the contract, PO or statement of work.
- Your business name, mailing address, email and payment instructions.
- Client name, billing address, contact person and purchase order if required.
- Invoice number, invoice date, due date and payment terms.
- Project name, service period, milestone or retainer month.
- Deliverables, hours, day rate, fixed fee or package lines.
- Reimbursable expenses listed separately with receipts kept in your records.
- Sales tax only where your state and service type require it.
W-9 and 1099-NEC workflow
IRS Form W-9 is the normal way to give a payer your correct taxpayer identification number when the payer needs it for an information return. The IRS says Form 1099-NEC is used to report nonemployee compensation.
That does not mean your SSN or EIN should appear on every invoice. Provide tax information through the client onboarding or vendor setup process, and keep the customer-facing invoice focused on the work, amount due and payment instructions.
Sales tax for freelance services
Most freelance service invoices are not a federal-tax document and there is no US VAT. Sales tax is state and local, and service taxability varies. Some states tax particular digital, creative, information, consulting or gross-receipts activity differently from others.
If your state taxes the service you provide, show the sales tax line clearly. If your service is not taxable in your state, leave the tax rate at zero and do not add a fake tax just because a template has a tax field.
Retainers, milestones and expenses
For monthly retainers, name the month or service period. For milestones, describe the deliverable and reference the contract, estimate or statement of work. For hourly work, include the date range and rate.
For reimbursed expenses, list them separately from service fees and keep receipts. A client may approve the invoice faster when travel, stock assets, software, shipping or subcontracted costs are visible instead of hidden in one vague line.
Common US freelance invoice mistakes
- Putting an SSN on the invoice instead of using Form W-9 when the payer needs tax details.
- Using vague descriptions such as "freelance work" instead of named deliverables.
- Leaving out a PO, service period or project reference that the client requires.
- Assuming sales tax never applies to services in every state.
- Mixing reimbursed expenses into the fee without receipts or explanation.
