What should a plumbing invoice include?

Beyond the standard invoice fields, a plumbing invoice needs to identify the property the work was carried out at, tie back to any accepted quote, and — for subcontracting or licensed trades work — carry the right licence and compliance details.

  • Service address, if different from the billing address
  • Plumbing licence or registration number, where applicable
  • Job or quote reference number
  • Date(s) the work was carried out
  • Responsible plumber or technician name
  • Call-out fee shown as its own line item
  • Labour and parts/fixtures listed and priced separately
  • Warranty terms on parts and workmanship

Call-out fees, emergency surcharges and itemizing parts

A call-out or trip fee ($75–$200 in the US, and the standard opening line on plumbing invoices everywhere) covers travel time and vehicle costs — list it as its own line item so there's no argument about the math later. Emergency or after-hours work commonly carries a surcharge on labour (a 30% night-call-out uplift is typical in France, for example) — disclose the surcharge to the customer before the visit, not just on the invoice afterwards. Parts and fixtures should be itemized on their own lines with any markup baked into the unit price (25–50% is typical on plumbing parts) rather than shown as a separate markup column.

Why labour and materials are listed on separate lines

Splitting labour from parts/materials isn't just good practice for plumbing — in several markets it's what makes a tax deduction or credit calculable at all. The UK's CIS deduction applies to labour only, Germany's §35a EStG lets private customers deduct 20% of labour cost (but only if it's shown separately from materials), Sweden's ROT-avdrag and Finland's kotitalousvähennys both require the same split, and Spain and Italy each have materials-value tests (40% and "beni significativi" respectively) that only work if the invoice shows the split clearly.
