What should a cleaning invoice include?
Beyond the standard invoice fields, a proper cleaning invoice records the service address (often different from where the bill is sent), the date or billing period the work covers, the frequency and type of service, and — for commercial contracts — a contract or job reference. Room counts, checklist tasks and access notes belong in the line-item descriptions or notes, not in dedicated header fields.
- Service address, if different from the billing address
- Service date (one-off) or billing period (recurring/commercial)
- Frequency and type: one-off, weekly, fortnightly, monthly, deep clean, move-out clean
- Hours worked or flat-rate tasks, itemized per line
- Who supplies the cleaning products — company (charged) or client
- Contract or job reference for commercial/janitorial billing
Hourly vs flat rate — and why the labour/materials split matters
Domestic cleaning is commonly billed by the hour (use the Qty column for hours), while add-ons like carpet cleaning, oven cleans or move-out cleans are often flat-rate per job. Whichever model you use, keep cleaning supplies and consumables on their own line rather than folding them into the labour price. Several tax-credit and rebate schemes — Swedish RUT-avdrag, Finnish kotitalousvähennys, Danish servicefradrag, German §35a — only apply to the labour portion, so a clean labour/materials split on the invoice is often what determines whether your customer's claim goes through.
Scope: indoor cleaning only — outdoor grounds work belongs elsewhere
This generator covers indoor and building cleaning: house cleaning, maid and housekeeping services, office and commercial/janitorial cleaning, window cleaning (interior and exterior), carpet and upholstery cleaning, move-out/end-of-tenancy/bond cleans, and builders' or sparkle cleans. It deliberately does not cover outdoor grounds work — mowing, gardening, hedge trimming, snow and ice removal — which is billed and taxed differently in several countries (for example, Poland taxes indoor cleaning at 23% but outdoor grounds work at 8%). If most of your invoice is lawn care, gardening or snow clearance, use a landscaping/grounds-maintenance invoice tool instead of this one.
