Veterinary invoice generator for Belgian clinics and animal hospitals

Belgian vet invoices need patient-level detail. Pet owners, insurers, farms and clinic teams need to see which animal was treated, what was done, which medicines or vaccines were supplied and which charges are treatment, medicine, retail, grooming or boarding.
What a Belgian veterinary invoice should include
- Veterinary practice, animal hospital or mobile vet name, enterprise/VAT number, address and payment details.
- Attending veterinarian and practice or registry reference where relevant.
- Owner name, billing details and optional pet-insurance policy or claim reference.
- Patient name, species, breed, sex, age, weight and microchip number where known.
- Treatment date, visit type, exam, vaccination, diagnostic, procedure, hospitalization or follow-up.
- Consultation, surgery, lab work, imaging, medication, vaccines, microchipping and disposal fees separately.
- Retail goods, prescription diets, grooming, boarding and pet supplies separate from veterinary treatment.
- Belgian VAT, payment status, discharge or insurance notes and balance due.
VAT and itemized treatment lines
Belgium’s standard VAT rate is 21%, and veterinary care does not use the human healthcare VAT exemption by default. Keep taxable services, medicines, vaccines, prescription diets, retail products, grooming and boarding separate for review.
A card receipt is usually not enough for insurance or farm records. Use itemized lines with owner, patient, species, microchip when known, treatment dates, medicines, vaccines, fees, payments and balance.
Veterinary medicines and antibiotic records
FASFC and FAMHP guidance emphasise recording veterinary medicinal products and antibiotic use. Veterinarians with a medicine depot can only use it for animals they treat and must respect administrative document and register obligations.
From 1 July 2026, VAMREG data collection starts for certain veterinary antibiotic use and sales categories, expanding in later years. Keep medicine, vaccine and antibiotic lines precise enough to reconcile with clinical and regulatory records.
Common Belgian veterinary invoice mistakes
- Using a generic receipt with no animal patient, species, weight or treatment date.
- Mixing veterinary treatment with retail food, grooming or boarding in one line.
- Applying human healthcare VAT-exemption assumptions to animal treatment.
- Leaving out microchip or vaccination detail when the owner needs it for insurance or travel records.
- Not separating medicines, vaccines and antibiotics from consultation or procedure fees.
- Including excessive clinical notes in a billing document.
