Belgian trucking invoices need to match the load packet. The payer should be able to connect the invoice to the CMR consignment note, dispatch reference, proof of delivery, accessorial authorization and remit-to instructions without chasing the driver or planner.

What a Belgian trucking invoice should include

  • Carrier, owner-driver or fleet name, enterprise/VAT number, address and payment details.
  • Bill-to shipper, broker, carrier, forwarder or third-party payer with PO or vendor reference.
  • Load number, CMR number, rate confirmation, trailer, truck, dispatch or shipment reference.
  • Pickup and delivery locations, pickup and delivery dates, lane and loading/unloading windows.
  • Rate basis: flat load rate, per-kilometre rate, hourly rate, day rate or minimum charge.
  • Linehaul, fuel surcharge, waiting time, detention, layover, tolls, permits, ferry and re-delivery charges separately.
  • Belgian VAT, reverse-charge or international-transport note where relevant.

CMR and Belgian road transport records

Belgian Mobility guidance says the CMR consignment note is generally used for goods transport and that numbered originals accompany the shipment and carrier records. Put the CMR number on the invoice so accounts payable can match it to the transport document.

For national transport, the vehicle registration number can also be relevant on the CMR. Keep route, truck, trailer and proof-of-delivery references visible for dispute handling.

VAT, tolls and accessorials

Domestic Belgian trucking generally starts from 21% VAT. International movements, subcontracted cross-border transport or reverse-charge B2B services need route-specific review.

Show waiting time, detention, layover, tolls, permits, ferry, temperature-control charges and re-delivery separately. That makes the invoice easier to approve against the rate confirmation and accessorial authorization.
