HVAC invoices should preserve equipment service history: make, model, serial number, location, service type, technician, refrigerant and warranty notes. VAT treatment can differ between ordinary work, qualifying renovation work and B2B reverse-charge cases.

What a Belgian HVAC invoice should include

  • HVAC business name, address, enterprise/VAT number, contact details and payment details.
  • Customer, billing address, service address and site contact.
  • Equipment make, model, serial number, capacity and location.
  • Service type: installation, repair, maintenance, leak check, commissioning or emergency call-out.
  • Technician, work order, maintenance agreement, refrigerant type and quantity where relevant.
  • Labour, parts, filters, refrigerant, recovery, disposal and maintenance-plan charges separately.
  • VAT amount, reduced-rate renovation note, reverse-charge wording and warranty references.

VAT on Belgian HVAC work

FPS Finance lists 21% as the standard VAT rate. For works on immovable property, certain renovation or repair work to a private dwelling over 10 years old can use 6%; social housing can use 12% under strict conditions.

For B2B immovable property work, reverse charge can apply when the customer files periodic VAT returns. Split equipment, labour, controls, ordinary repair and maintenance-plan lines so the treatment can be reviewed.
