How to use a Belgian catering invoice template
A Belgian catering template should preserve the event details that drove the quote: event date, venue, guest count, service style, menu, staff, rentals, delivery, deposit and VAT treatment.
Fields to keep in the template
- Catering business name, enterprise/VAT number and payment instructions.
- Client, event host, company, PO or planner reference.
- Event date, venue, delivery address, event type and guaranteed guest count.
- Menu, food, non-alcoholic drinks, alcohol, staff, delivery, setup, rentals and service charge separately.
- Deposit, final balance, Belgian VAT and payment due date.
- Dietary, allergen, venue access, loading and timing notes.
Food, drinks and alcohol VAT split
Belgian VAT uses 21%, 12% and 6% rates. Alcoholic beverages should stay on their own line because they commonly use 21% even when food or non-alcoholic catering items use another rate.
Deposits and final headcount
Show the full event charge, then apply the deposit as a credit. If the guaranteed headcount changes, add a headcount adjustment rather than silently changing the package price.
