What a UK recovery invoice should include
A good recovery invoice gives the vehicle owner, insurer, fleet customer or garage enough detail to match the charge to the vehicle and the job. Use the header fields for the vehicle, registration, pickup point, drop-off location and reference number, then itemise each fee.
- Recovery operator details, VAT number if registered and payment details.
- Vehicle make, model, colour and UK registration number.
- Pickup location, incident location, drop-off destination and date/time if relevant.
- Customer, insurer, fleet, garage or breakdown-assistance reference.
- Call-out, hook-up, mileage, winching, recovery labour, after-hours surcharge and storage as separate lines.
- Storage days, release fee, authorisation notes and any police, insurer or fleet reference.
VAT and itemised charges
Vehicle recovery is normally a standard-rated service for a VAT-registered UK operator. GOV.UK says invoices should clearly describe what is being charged, show the supply date, invoice date, amounts, VAT if applicable and total owed.
Do not bundle recovery, mileage and storage into one unexplained total when the payer may need to approve only part of the charge. Itemisation is especially useful for insurer, garage, fleet and accident-management workflows.
Storage, release and non-consensual recovery
If the vehicle is stored after recovery, show each storage day separately and state the release or collection terms in the notes. If the job came through police, local authority, parking enforcement, insurer or fleet authorisation, include the reference number so the invoice can be reconciled.
Recovery invoice vs breakdown membership
