Rent receipt generator for UK landlords and property managers
Create a UK rent receipt or rental invoice for residential tenancies, commercial units, service charges, parking, deposits and property-management records. This page is written for UK rental paperwork rather than a generic rent receipt. Residential rent, tenancy deposits, commercial rent, VAT option to tax and parking charges can each need different wording, so keep each amount visible instead of hiding everything inside one monthly total.
What to include on a UK rent receipt
A rent receipt should identify the property and the period being paid. That matters for tenants, letting agents, landlords, guarantors and bookkeepers because a bank transfer alone does not always explain whether the payment covered rent, deposit, service charge, arrears, parking or a part-month adjustment.
- Landlord, letting agent or property company name and contact details.
- Tenant name, property address, unit, room, parking bay or commercial premises.
- Tenancy, lease, licence, AST or internal property reference.
- Rental period covered, payment date, payment method and reference.
- Monthly rent, part-period rent, service charges, parking, deposit and late fees on separate lines.
- VAT number and VAT amount only where the supplier is VAT registered and VAT applies.
Receipt, rent invoice or statement
Use a receipt when the tenant has already paid and needs proof of payment. Use a rent invoice when you are requesting payment before the due date. Use a statement when you need to show a balance across several months, arrears, credits or multiple properties.
This generator can be used for any of those working records, but the wording should match the purpose. For example, write "Rent received for April 2026" on a receipt, and "Rent due for April 2026" on an invoice.
Deposits and tenancy deposit protection
For assured shorthold tenancies in England and Wales, GOV.UK says a landlord must protect the tenant deposit in a government-approved scheme within 30 days of receiving it. Scotland and Northern Ireland have separate tenancy deposit scheme rules.
Show a refundable tenancy deposit separately from monthly rent. Do not present it as ordinary rent income on the receipt, and record the protection scheme or reference in the notes when you have it.
Residential rent, commercial rent and VAT
HMRC VAT Notice 742 explains that a grant, lease or licence to occupy land is normally exempt from VAT. That is why many residential rent receipts have no VAT.
Commercial property can be different if the landlord has opted to tax, and parking facilities are often standard-rated when supplied separately. If VAT applies, include the landlord VAT number, VAT rate and VAT amount; if it does not, keep the receipt clear and do not call it a VAT invoice.
Service charges, parking and utilities
Put service charges, parking, storage, utilities, cleaning and management charges on separate lines. This helps tenants understand what they paid and helps landlords review whether each item follows the same VAT treatment as the rent.
For utility recharges based on meter readings or usage, consider using a dedicated utility invoice or statement and reference it in the rent receipt.
Common UK rental receipt mistakes
- Using a generic receipt that does not show the property address or rental period.
- Mixing deposit, rent and service charge in one unclear amount.
- Calling the document a VAT invoice when the landlord is not VAT registered or VAT does not apply.
- Forgetting deposit protection notes for an AST deposit.
- Not separating parking or commercial rent where VAT treatment may differ.
- Recording only the bank transfer reference without saying what the payment covers.
