UK cleaning invoices need to show the property cleaned, the service period, frequency, hours or tasks, supplies, access notes and VAT treatment. A cleaner working for a landlord, letting agent, office or construction contractor usually needs more detail than a one-line household receipt.
What a UK cleaning invoice should include
GOV.UK invoice guidance requires the usual invoice details, but cleaning work also needs a service address and service period. The billing address is often a landlord, managing agent, facilities team or tenant, while the cleaned property is somewhere else.
- Cleaner or cleaning company name, address, contact details and VAT number if registered.
- Customer name, billing address and service address.
- Service date or period, frequency and service type.
- Hours, visits, rooms, checklist tasks or flat-rate job scope on separate lines.
- Cleaning products, consumables, equipment hire and specialist add-ons separated from labour.
- Contract, job, purchase-order or letting-agent reference for commercial work.
- Access notes, key collection, next scheduled clean and payment terms.
VAT and builders cleans
VAT-registered cleaning businesses normally charge standard-rate VAT on domestic and commercial cleaning. If you are below the VAT registration threshold and not registered, do not charge VAT or issue a VAT invoice.
A builders clean or sparkle clean supplied in the construction chain may fall within CIS and the VAT domestic reverse charge where the conditions are met. Keep ordinary cleaning separate from construction-linked cleaning so the payer can review the treatment.
Supplies, COSHH and specialist cleaning
HSE COSHH guidance covers substances hazardous to health, including many chemicals used in cleaning. When you charge for cleaning products, disinfectants, stain treatments, carpet chemicals or consumables, keep them on separate lines and use the notes field for access, safety or site instructions where relevant.
For end-of-tenancy and commercial work, this also helps explain whether the cleaner or client supplied products and whether specialist equipment was used.
Recurring contracts and end-of-tenancy cleans
