HVAC & air conditioning invoice generator for Gibraltar

Create a Gibraltar HVAC invoice for air conditioning, ventilation, heating and refrigeration installation, repair and maintenance work, with equipment details, refrigerant handled and labour/parts on separate lines. Gibraltar has no VAT, so service invoices carry no tax line at all — labour is billed gross.

Gibraltar regulates F-gas and ozone-depleting substances under its own domestic law, the Environmental Protection (Controls on Ozone-Depleting Substances) Act 2014, rather than by direct reference to the UK regime — anyone handling bulk refrigerant or importing equipment containing it needs to hold the relevant Environmental Agency-recognised training/certification.

What to include on a Gibraltar HVAC invoice

  • Business name, OFT Trade Licence reference and contact details.
  • Job/service address, if different from the customer's billing address.
  • Equipment make, model and serial number.
  • Service type — installation, repair, maintenance or emergency call-out.
  • Refrigerant type and quantity added or recovered, for F-gas/ODS recordkeeping.
  • Labour and parts listed on separate lines — no VAT line is needed.

F-gas and ozone-depleting substances: Gibraltar's own regime

Since 30 March 2019, Gibraltar has regulated fluorinated greenhouse gases and ozone-depleting substances under its own Environmental Protection (Controls on Ozone-Depleting Substances) Act 2014, using the same HFC phase-down schedule the EU applies (a 70% cut by 2030 against the 2009–2012 baseline). The Environmental Agency is the competent authority and requires anyone who handles bulk refrigerant, or imports equipment already charged with it, to hold recognised training/certification — treat this as a Gibraltar-specific compliance record on your invoice or job file, not a UK Gas Safe/F-Gas Register credential (which does not extend to Gibraltar).

A Trade/Business Licence from the Office of Fair Trading is required for mechanical/electrical contracting activity generally, on top of any environmental certification for refrigerant handling.

No VAT — and the new goods-only Transaction Tax

Gibraltar has no VAT and never has had one. HVAC labour and service call-outs are billed gross with no tax line at all — tax on the business's profit is settled once a year via Corporation Tax (15%, companies) or Income Tax (self-employed technicians), never per invoice.

From 15 July 2026, a new Transaction Tax applies to imported goods — starting at 15% and rising to 17% by year three — replacing the old Import Duty regime. It only touches goods: imported refrigerant, compressors, ductwork and equipment parts may carry this cost as a supplier/import expense, but it is never itemized as a tax line on the customer-facing service invoice, which remains labour-only and tax-free.
