Belgian photo invoices should make the shoot, deliverables and rights clear. Clients may be buying session time, edited images, printed products, a video edit, an artistic work, a commercial usage licence or a mixture of services and rights.
What a Belgian photography invoice should include
- Photographer, videographer or studio name, enterprise/VAT number, address and payment details.
- Client name, billing address, campaign, event, purchase order or agency reference.
- Shoot date or date range, location, venue and session or package type.
- Deliverables such as edited image count, gallery, prints, album, video length, reels, raw footage or usage licence.
- Usage rights: personal, commercial, web, social, paid ads, print, press, broadcast, territory, duration and exclusivity.
- Shoot fee, editing, assistant, second shooter, travel, studio hire, prints, albums, rush delivery and licensing separately.
- Retainer, booking payment, Belgian VAT, amount already paid and balance due.
Belgian VAT, droits d’auteur and art-worker context
Ordinary taxable photography and videography services generally start from Belgium’s 21% VAT rate. If a job genuinely includes copyright or droits d’auteur income, keep the licensing component separate from the shoot fee and confirm withholding and eligibility treatment before invoicing.
Belgium’s art-worker attestation system started under the Working in the Arts platform from 2024. Artistic photographers may interact with that regime, but a routine wedding, portrait or commercial shoot should not automatically be treated as an author-rights invoice.
Usage rights, retainers and deliverables
Use the usage-rights field to say what the client receives: private use, web, social, paid advertising, print, press, territory, duration and exclusivity. Belgian agencies and corporate clients often need this as much as the image count.
For weddings and events, show the booking retainer as a payment or credit against the full package. Keep prints, albums, travel and rush delivery separate from the creative fee.
