Choose the UK transport document before filling the form

A UK shipper may need a bill of lading, a sea waybill, a CMR consignment note, an air waybill or a simple delivery receipt depending on the mode and contract. A bill of lading can evidence the carriage contract and operate as a transferable document of title; a sea waybill usually gives delivery instructions without negotiable possession mechanics. This page therefore starts with document choice rather than assuming one form fits every route.

For road freight leaving or entering the UK, the practical document is often a CMR consignment note. It is signed across the consignor, carrier and consignee workflow and records details that HMRC may treat as commercial evidence for exports. Electronic trade documents are now a real UK option

The Electronic Trade Documents Act 2023 lets certain electronic trade documents have legal effect where possession is a necessary feature and the statutory control requirements are satisfied. That does not mean a normal PDF becomes a negotiable electronic bill by magic. The platform must control exclusive use, transfer, divestment and integrity in a way the parties can prove.

Keep export evidence and carrier reservations visible

UK export evidence can be lost in tiny operational fields: a wrong container number, incomplete CMR delivery signature, missing carrier stamp or blank consignee receipt can be more damaging than a missing boilerplate paragraph. The template makes those items visible and places exceptions before the signature block.

Reservations should be written at pickup or delivery while the goods can still be inspected. Damaged cartons, shortage, wet freight, broken seal, wrong temperature, unclear marks or unverified weight should not be buried in emails after the fact.
