A UK photography invoice should not just say "photoshoot". It should record what was shot, when and where, what the client receives, what usage rights are included, what retainer has already been paid and whether VAT applies.
What a UK photography invoice should include
The invoice should connect the payment to the shoot and deliverables. This matters for wedding clients, agencies, brands, publishers, estate agents and corporate marketing teams who need to reconcile the invoice against a booking or usage agreement.
- Photographer or production business name, address, contact details and VAT number if registered.
- Client name, billing address, project, PO or campaign reference.
- Shoot date or date range, location, venue and package or session type.
- Deliverables: edited image count, gallery, prints, album, video length, social cuts or raw footage.
- Usage or licensing rights: personal or commercial, media, territory, duration and exclusivity.
- Shoot fee, editing, assistant, travel, studio, prints, album, rush delivery and licensing lines separately.
- Retainer, booking payment, amount already paid and balance due.
Copyright and usage rights
GOV.UK copyright guidance says copyright protects original artistic work, including photography, automatically. It also says copyright stops others using the work without permission and can cover copying, distribution, public showing, adaptation and putting it online.
Use the usage-rights field to say what the client is actually buying: personal use, social media, web, paid ads, print, press, broadcast, UK-only, worldwide, fixed term or perpetual. For commercial shoots, usage can be the most important part of the invoice.
VAT, retainers and travel
VAT-registered UK photographers normally charge VAT on taxable photography and video services. Photographers below the VAT registration threshold who are not registered should not charge VAT.
Use "retainer" or "booking fee" consistently with your contract. Show it as a credit against the final invoice so the client sees the package price, payment already received and remaining balance. Travel, accommodation, studio hire and rush delivery should be separate lines.
Wedding, commercial and property shoots
For weddings and events, include date, venue, package, coverage hours, deliverables and delivery date. For commercial work, add campaign, PO, usage rights and licensing. For property photography, include address, shoot date, number of images, floorplan, video, drone or virtual-tour deliverables.
Common UK photography invoice mistakes
- Not stating usage or licensing rights.
- Calling a booking retainer a deposit when the contract uses different wording.
- Hiding travel, assistant, editing, rush delivery or print costs inside the shoot fee.
- Leaving out the shoot date, venue or deliverables.
- Charging VAT without a VAT number or omitting VAT when registered.
- Treating the invoice as the full licence contract when it should match the separate agreement.
