What a UK private practice invoice should include

Use the ordinary UK invoice basics first: invoice number, practice details, patient or payer details, supply date, invoice date, description of the service, amounts and total owed. Then add healthcare-specific fields so the patient, insurer or employer can understand the claim.

  • Patient name and optional patient ID or chart number.
  • Treatment or service date, which may differ from the invoice date.
  • Provider registration such as GMC, HCPC, NMC, GOsC, GCC or other relevant register.
  • Insurer, policy, authorisation or claim reference where applicable.
  • Service description, appointment type, report fee or treatment code if needed.
  • VAT-exempt wording only where the service qualifies.

VAT exemption for registered health professionals

HMRC Notice 701/57 links medical VAT exemption to registered health professionals and the nature of the service. Keep clinical detail minimal

Invoices often travel through insurers, finance teams and family members, so do not include more clinical detail than the payer needs. Use a short service description, treatment date and claim reference where possible rather than copying clinical notes into the invoice.

VAT-registered practices and mixed services

A practice can be VAT registered and still issue VAT-exempt invoices for qualifying medical care. If the same invoice includes a taxable report, administrative charge or non-medical service, keep it on a separate line and check the VAT treatment before issuing the invoice.
