Rent receipt template for Canadian landlords

A Canadian rent receipt should show which property, unit, tenant and rental period the payment covered. The template keeps rent, deposits, parking, storage, late fees and balance due separate.

CRA guidance lists long-term residential rent of one month or more as exempt. Commercial rent, parking, storage and short-term accommodation can need GST/HST review.

Fields to keep in the receipt

  • Landlord or property manager name and contact details.
  • Tenant, property address, unit, room, parking space or storage locker.
  • Lease or property-management reference.
  • Rental period, payment date, payment method and payment reference.
  • Rent, security deposit, parking, storage, arrears and late fees separately.

Residential rent and GST/HST

Long-term residential rent is generally exempt from GST/HST under CRA supply-status guidance. Do not add GST/HST to ordinary exempt residential rent.

Commercial rent and separately supplied parking, storage or short-term accommodation can be taxable, so keep those charges separate.

Common rent template mistakes

  • Leaving out the unit or rental period.
  • Mixing refundable deposits with monthly rent.
  • Charging GST/HST on exempt long-term residential rent.
  • Using one receipt as a tenant ledger or provincial tenancy notice.
