Freelance invoice template for Canadian self-employed work

Canadian freelancers need invoices that explain what was delivered, when it was delivered and how tax was handled. The template keeps project, service period, fees, expenses, GST/HST status and payment terms visible.

For most businesses, CRA guidance uses a $30,000 small supplier threshold over four consecutive calendar quarters. If you are not registered for GST/HST, do not add GST/HST to the invoice.

Fields to keep in the freelance template

  • Freelancer legal or trade name, address, contact details and payment instructions.
  • Business number and GST/HST account number when applicable.
  • Client name, billing address, purchase order, project or statement-of-work reference.
  • Service period, milestone, deliverable, hourly rate, day rate, retainer or fixed fee.
  • Reimbursed expenses, software, travel, platform fees or pass-through costs on separate lines.
  • Subtotal, GST/HST if registered and taxable, total due, due date and accepted payment method.

GST/HST, small supplier status and province notes

CRA says most businesses do not have to register if they do not exceed the $30,000 threshold over four consecutive calendar quarters. Once the threshold is crossed, timing rules decide when registration and charging start.

If you are registered and the work is taxable, show GST/HST clearly. If billing from Quebec or a PST/RST province, review the separate provincial tax rules for your situation.

Projects, retainers and expenses

A freelance invoice is easier to approve when it matches the contract, purchase order, retainer month or milestone. Use the service period and reference fields instead of relying on a vague description.

For expenses, keep receipts and list reimbursed costs separately from professional fees. For foreign clients, note the currency and any exchange-rate or platform-fee treatment the client needs.

Common freelance template mistakes

  • Charging GST/HST while not registered.
  • Forgetting to update invoice wording after crossing the small supplier threshold.
  • Using vague descriptions such as freelance services without deliverables or dates.
  • Mixing expenses into the fee without documentation.
  • Leaving out a purchase order, project reference or service period the client needs.

FAQs about Canadian freelance invoice templates

Can I invoice without GST/HST?

Yes, if you are not registered and not required to be registered. Leave GST/HST off the invoice.

When do I register for GST/HST?

For most businesses, CRA uses a $30,000 small supplier threshold over four consecutive calendar quarters, with specific timing rules when you exceed it.

Should my business number be on the invoice?

Include it when relevant, especially if you are GST/HST-registered or the client needs supplier records.

Which format should I download?

Sheets or Excel are best for repeat calculations and expenses. Docs or Word are better for long descriptions, retainers or polished PDF-style invoices.
