Legal invoice generator for Australian law firms

Create an Australian legal invoice for solicitors, barristers, law firms and legal professionals with matter number, matter name, responsible practitioner, practising certificate number, billing period, fee arrangement, professional fees, disbursements, trust drawdown, GST and balance due.

Australian legal billing needs matter-level clarity. Professional fees, client disbursements, trust money and GST should be separated so the client can review the bill and the practice can reconcile it against the matter ledger.

What an Australian legal invoice should include

A legal invoice should connect the charge to the client matter and fee arrangement. It should be clear enough for clients, accounts payable, cost assessors and the firm ledger to understand what was charged and what was paid from trust or retainer money.

  • Law practice name, ABN, contact details and payment instructions.
  • Client name, billing address, matter number and matter name.
  • Responsible solicitor, barrister or practitioner and practising certificate or law society reference where relevant.
  • Billing period and fee arrangement: hourly, fixed fee, retainer or conditional/costs agreement context.
  • Professional fees, time entries and legal work separated from client disbursements.
  • Court fees, filing fees, counsel, searches, process server, courier and copying labelled clearly.
  • Trust or retainer funds applied, payment received, GST and balance due.

GST on legal fees and disbursements

Australian legal services supplied by a GST-registered practice are generally taxable. ATO tax invoice guidance applies to the legal bill when it is a tax invoice.

True client disbursements paid as agent can need different treatment from recharged costs consumed by the firm. Keep filing fees, searches, counsel, courier, copying and professional fees separate so GST can be reviewed correctly.

Trust money and retainer drawdowns

Legal trust accounting is regulated by state and territory frameworks, with national profession reforms operating in several jurisdictions. If trust or retainer money is applied, show it as a payment or credit rather than hiding it inside the fee line.

The PDF invoice is a billing record. It does not replace trust-account records, cost disclosure, a costs agreement or any state-specific requirements.

Matter detail and client approval

For hourly matters, include enough detail to identify the task, date, practitioner and duration. For fixed fees, name the deliverable or phase. For corporate clients, add the purchase order, claim number, cost centre or e-billing reference where required.

Common Australian legal invoice mistakes

  • Omitting the matter number, billing period or responsible practitioner.
  • Combining professional fees and disbursements into one line.
  • Applying trust money without showing the amount credited.
  • Using vague descriptions like legal services for hourly work.
  • Treating every reimbursed cost as a non-taxable disbursement without review.
  • Including privileged or sensitive matter detail beyond what the bill needs.
