How to use an Australian trucking invoice template
A trucking template should make the load easy to approve: load reference, consignment note, POD, route, pickup and delivery dates, agreed rate, waiting time and GST or RCTI treatment should all remain visible.
Fields to keep in the template
- Carrier or owner-driver name, ABN and payment details.
- Customer, head carrier, broker, shipper or forwarder and PO reference.
- Load reference, consignment note, BOL, POD or rate agreement.
- Pickup, delivery, route, dates, truck, trailer and kilometres.
- Linehaul, per-kilometre charge, fuel levy, waiting time, detention, tolls, permits and tarping.

GST and RCTI
GST-registered carriers generally issue Tax Invoices with GST shown unless the payer issues a recipient-created tax invoice under an agreed RCTI arrangement. Confirm which party issues the tax invoice.
Accessorial charges
Waiting time, detention, demurrage, tolls and re-delivery charges should be separate with date, location or authorization references.
